autoplexity.ai
Complete Platform Guide

How autoplexity.ai works

A complete operations platform for Prescribed Bodies Corporate β€” built around two portals, powered by AI, and designed to reduce the administrative burden on the one person running everything.

πŸ—‚

Secretary Portal

Accessed by the PBC secretary (and authorised staff) via Microsoft 365 login. This is the full administrative back-office β€” every tool a secretary needs to run a PBC.

Login: Microsoft 365 only
🌿

Member Portal

Accessible to all native title holders 24/7 β€” no login required. Self-service access to documents, AI questions, query submission, and PBC information.

Access: open link, no account needed
Secretary Portal

Everything the secretary needs

14 tools, one dashboard. Designed for the single secretary managing hundreds or thousands of members.

πŸ“¬
Query Inbox
Every query from a member lands in a structured inbox. The AI reads the message and drafts a professional reply in seconds β€” referencing native title law, your ILUAs, and your compliance calendar. You review, edit, and send with one click.
πŸ“’
Bulk Communications
Send AGM notices, ILUA consultation updates, or distribution announcements to your entire member register β€” or filter by region, language group, or voting eligibility. Every send is logged for compliance.
πŸ—Ί
ILUA Tracker
Track every Indigenous Land Use Agreement β€” parties, signed dates, key obligations, annual payments, and review dates. Ask the AI for a plain-language summary of any ILUA at any time.
πŸ“‹
Compliance Tracker
Never miss a deadline. Add your AGM dates, ORIC filing deadlines, annual report due dates, and any other obligations. The system automatically calculates Overdue / Due soon / On track status and sends email alerts.
πŸ‘₯
Member Register
Your full membership database β€” names, contact details, clan/language groups, voting eligibility, and membership numbers. Import from a spreadsheet in minutes. Search and filter instantly.
πŸ“‚
Document Library
Upload PDFs, Word docs, and reports directly to the platform. Documents you publish instantly appear in the member portal for download. The Document AI can summarise any uploaded document, extract key dates and obligations, or auto-fill a template.
πŸ“œ
Confirmation of Aboriginality
Generate a fully formatted COA document for any member with a single click. The AI pulls from the member register and your org details to produce a ready-to-sign certificate.
πŸ€–
AI Admin Assistant
Ask the AI anything β€” native title law, ORIC requirements, how to run an AGM, what an ILUA obligation means. It's trained on Australian native title legislation, ORIC guidelines, and PBC governance requirements.
Member Portal

24/7 self-service for members

Reduces the volume of calls and emails to the secretary β€” members get answers immediately, any time of day.

πŸ’¬
24/7 AI Chatbot
Members can ask questions any time of day β€” about their native title rights, upcoming meetings, distributions, ILUAs, or how to contact the secretary. The AI answers in plain English, not legal jargon.
πŸ“
Query Submission
Submit a formal query to the secretary directly from the portal. Choose a category, describe your question, and receive an email reference number. The secretary receives an instant notification and responds within 3–5 business days.
πŸ“„
Document Library
Access AGM notices, annual reports, determination documents, ILUA summaries, and policy documents β€” all in one place. Download any document the secretary has published.
ℹ️
PBC Info Hub
See upcoming meeting dates, secretary contact details, and links to government support agencies like the NNTT, AIATSIS, and YMAC β€” all in one place, always up to date.
AI Explainer

How the AI works

The AI is powered by Claude (Anthropic) β€” one of the most capable and safety-focused AI systems available. Here is exactly what happens when you use it.

1
You ask a question or describe a task
In plain English β€” no technical knowledge required. For example: "Draft a reply to this member asking about their voting rights" or "Summarise the key obligations in this ILUA."
2
The AI reads and understands the context
The AI has been trained on Australian native title legislation (the NTA 1993), ORIC requirements, PBC governance obligations, and your specific organisation's data β€” members, ILUAs, compliance items, and documents.
3
It produces a draft or answer
For query responses, it writes a professional, legally aware reply for you to review. For document analysis, it produces a plain-language summary. For the member chatbot, it explains rights and processes clearly.
4
You review and approve
Nothing is sent or published without your say-so. The AI is your assistant β€” it drafts, you decide. Every action is logged for audit purposes.
Using the Member AI Chatbot

The member chatbot understands questions about native title, meetings, payments, ILUAs, and how to contact the secretary. Try questions like:

  • β€œWhat is an ILUA and how does it affect me?”
  • β€œWhen is the next AGM?”
  • β€œHow do I update my contact details?”
  • β€œWhat is native title?”
  • β€œAm I a registered member?”
  • β€œHow do I submit a query to the secretary?”

The AI will always direct you to the secretary for matters that require a personal response β€” it will not make up information about your specific membership status or personal entitlements.

Frequently asked questions

Is this platform secure? Where is data stored?
All data is stored in Australia on Supabase (Postgres), hosted in AWS ap-southeast-2 (Sydney). Documents are stored in encrypted Supabase Storage. No member data leaves Australia. Microsoft 365 authentication ensures only authorised secretaries can log in.
Does the AI have access to member personal information?
The AI Assistant and member chatbot do not have direct access to the member register. The secretary can choose to provide context when using the AI tools. The member chatbot only knows what your secretary has configured it to know β€” general native title information and your organisation's public details.
Do members need to create an account?
No. The member portal is currently open access β€” any person with the link can access it. The secretary portal requires Microsoft 365 authentication. Member authentication (login with name/DOB or email) is on the roadmap for a future release.
Can we import our existing member database?
Yes. The Import Data tool accepts CSV or Excel files. Map your column headers to the required fields and the platform imports all records into Supabase in one step. There is no limit on record count.
What happens if the AI gives incorrect information?
The AI is designed to assist, not replace, human judgment. For legal or compliance questions, always verify the AI's response against official sources (ORIC, NNTT, your legal advisor). We clearly label AI-generated content throughout the platform.
Is this suitable for PBCs outside Western Australia?
Yes. The platform works for any PBC or RNTBC across Australia. The AI assistant is trained on the national Native Title Act 1993 and ORIC requirements, which apply nationwide.

Ready to get started?

We are currently in beta and onboarding the first 15 PBCs for free. No contract, no credit card required.
